Faststream has been tasked to source an exceptional Project Admin Assistant on behalf of our client for a newbuilding project in Turkey.

We are seeking a highly organized and proactive Administrative Assistant to join the team in Kocaeli, Turkey. You will be responsible for providing comprehensive administrative support to the project team, ensuring smooth and efficient operations of a yacht new building project.   

Key Responsibilities:   
  • Provide day-to-day administrative assistance to the Project Manager and the project team.   
  • Manage and organize project documentation; prepare and distribute project-related reports,   
  • presentations, and other documentation as needed.   
  • Schedule and coordinate meetings, appointments, and travel arrangements for project staff, and   
  • coordinate logistics for project-related events and site visits.   
  • Act as a point of contact with internal and external stakeholders, interacting with a diverse team   
  • of professionals in a fast-paced environment.   
  • Facilitate clear and effective communication between the shipyard team, contractors, suppliers,   
  • and clients.   
  • Maintain and update project schedules, timelines, and milestones and/or support on reporting as   
  • required.   
  • Provide general office support as required, including but not limited to filing, scanning, copying,   
  • and other clerical tasks to maintain an organized and efficient work environment.   
  • Ensure the project office is well-organized and equipped with necessary supplies and equipment.   
  • Perform any other administrative duties as needed as requested by the Project Manager.   
Requirements:   
  • Proven experience as an Administrative Assistant or in a similar role, preferably in the maritime or   
  • construction industry.   
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other relevant software.   
  • Proficiency in MS Project, or similar tools, to develop and manage project schedules is preferred.   
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines simultaneously.   
  • Detail-oriented mindset, ensuring accuracy and completeness of documentation.   
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with project team members and stakeholders.   
  • Ability to work independently and as part of a team, demonstrating flexibility and adaptability to changing project requirements.   
  • Fluency in English, both written and spoken, is essential.   
  • Knowledge of Turkish or other languages is a plus.
