Position: Operations Executive
Location: Singapore
Job Responsibilities:
  • Contract Management: Ensure that operations commence only after a written contract is issued. Review and fully understand the contract's content, terms, and conditions. Provide necessary instructions to relevant parties to execute the final contract, including any amendments.
  • Financial Security: Manage Letters of Credit (LC) issuance/receipt in line with the contract, and verify that the commercial details in the LC match the contractual terms and actual events. Issue timely instructions for outgoing invoices and process incoming invoices. Monitor financial securities and give instructions for the release of freight payments as necessary.
  • Cargo Management: Nominate vessels in accordance with the contract as agreed by the trader, issue documentary instructions, appoint inspectors for quality and quantity when needed, and handle purchase, sale, and service invoices. Manage storage if applicable.
  • Vessel Management: Coordinate vessel clearance with terminals and counterparties, including vetting processes through the Charterer. Understand the fixture provided by the Shipping Department, issue voyage orders, appoint agents, and process all shipping-related invoices.
  • Insurance & Claims: In the event of any issues during contract execution, notify the Insurance Department and gather necessary documents and correspondence.
  • Coordination and Data Input: Ensure accurate and timely entry of all deal-related details into the systems.
Requirements:
  • A minimum of 5 years of experience in operations within oil trading.
  • Strong understanding of the international trading environment in the oil industry.
  • Familiarity with operational and financial procedures.
  • Ability to handle multiple tasks and manage priorities effectively.
  • Commitment to full compliance in all actions.
  • Excellent interpersonal skills, including communication, negotiation, and relationship-building.
  • Self-motivated, proactive, and forward-thinking.
  • Strong judgment and problem-solving skills with a focus on minimizing risks and maximizing company interests.
  • Proficiency in English and Mandarin.
